Admin Dashboard Overview

The admin dashboard serves as your central hub for managing professional development activities and user engagement across both weCLIMB and eLearn modules. System administrators can monitor key metrics, track user progress, and access administrative functions from this unified interface.

Role Requirements

You must have the system_administrator or organization_administrator role to access the full admin dashboard functionality.

Dashboard Components

eLearn Module Tabs

If the eLearn module is activated for your organization, you’ll see these tabs based on available content:

Required Content Tab

• Displays count of required courses assigned to users
• Shows recommendations that need completion
• Links to required product management

Continue Content Tab

• Lists courses currently in progress
• Shows enrollment counts for partially completed content
• Provides quick access to continue learning paths

Content Libraries Tab

• Displays available content library count
• Shows organized collections of learning materials
• Links to library management tools

Learning Paths Tab

• Shows structured learning sequence counts
• Displays multi-course professional development tracks
• Links to path administration

Individual Content Tab

• Lists standalone courses and materials
• Shows root-level guided content counts
• Provides access to individual course management

Observations Tab

If the weCLIMB module is activated and you have the observer, observable, or organization administrator role, you’ll see an Observations tab.

Awaiting Your Response

If an observation is waiting on you, this panel sits at the top of the tab, headed Awaiting your response with a count of what it is showing.

Each row shows the form set used, who observed you and when, and the observation’s current status. Click Respond — or the observation’s details — to open it and take your turn.

An observation appears here when it is waiting for you to acknowledge it or to reflect on it. Only the ten most recent are ever listed, newest first — if you have more than ten outstanding, both the count and the list stop at ten.

An observation that is finished but waiting to be closed by an administrator appears neither here nor in the widgets below, since it needs nothing from you and has not closed yet.

You’ll only see this panel if you have the Observable role, and only when something is actually waiting on you. If you have nothing outstanding, the tab opens straight to the summary widgets below.

Summary Widgets

Up to three widgets follow, one per role you hold. Each counts closed observations only — work still moving through reflection, acknowledgment, or closure is not included.

My Observations (Observable role)

• How many times your classroom has been observed, and how long ago the most recent one was
• Reads “Your classroom has never been observed” until the first one closes
• View opens My Observations

My Conducted Observations (Observer role)

• How many classrooms you have observed, and how long ago the most recent one was
• Reads “You have yet to observe a classroom” until your first one closes
• View opens Conducted Observations

All Observations (Organization Administrator role)

• How many classrooms your organization has observed, and how long ago the most recent one was
• Reads “Your organization has yet to observe a classroom” until the first one closes
• Covers your organization and everything beneath it
• View opens All Observations

Navigation Features

Tabbed Interface

The dashboard uses a sticky navigation system that:

• Displays content counts as badges on each tab
• Automatically loads the first tab’s content
• Uses lazy loading for subsequent tabs to improve performance
• Maintains active tab highlighting as you scroll

Dynamic Content Loading

Content within each tab loads dynamically using:

• Turbo frames for fast, partial page updates
• Loading indicators while content fetches
• Automatic refresh when switching between tabs

Engagement Metrics

For each content area, the dashboard shows:

• Content Counts: Number of available items
• Progress Indicators: Completion status and activity levels
• Last Activity Dates: When content was most recently accessed
• User Participation: Enrollment and completion rates

Observation Metrics

Observation widgets display:

• Observation Frequency: Total completed observations
• Recent Activity: Time since last observation
• Status Messages: Contextual information about observation history

Dashboard Customization

Content Visibility

Tabs only appear when:

• The module is activated for your organization
• You have appropriate role permissions
• Content is available in that category
• User counts are greater than zero

Role-Based Display

The dashboard automatically adjusts its display based on your specific role permissions and organizational settings, ensuring you see only relevant information and functions.
